Integration Guide: Google Calendar

You can use our official Google Calendar SMS Add-on, or set up a workflow using Zapier.

Option 1: Using the ClickSend SMS Add-on in Google Calendar

Setup Instructions

  1. Install the add-on to your Google Calendar.

  2. Allow permissions when prompted during installation.

  3. In Google Calendar, find the ClickSend icon on the right sidebar and click to open the panel.

  4. Enter your:

    • Username – Your ClickSend login

    • API Key – Found in the ClickSend Dashboard

  5. Click Save to connect.


Composing and Saving Messages

  1. Write your SMS message directly in the add-on.

  2. Click Save to make it your default message for future reminders.

  3. A pop-up will confirm when the message has been saved.


Creating Events and Sending Reminders

  1. Create a new event in your calendar.

  2. Add the recipient’s phone number in the event title or description.

  3. If both fields have numbers, the add-on prioritises the one in the description.

  4. Click the event > Edit your message or leave the default > Click Set Reminder.

  5. You can use local numbers (e.g., 0411111111) if your account has a default country code. For international numbers, use full format (e.g., +61411111111).


Monitoring and Managing Reminders

  • Scheduled and sent messages appear in your ClickSend dashboard history.

  • You can cancel unsent reminders via:

    • The ClickSend history, or

    • The event in your Google Calendar


Event Colours Explained

Colour

Meaning

Blue

No reminder set

Red

Reminder successfully set

Purple

Reminder cancelled

You can re-set reminders manually if needed.


Works in All Views

ClickSend SMS Add-on works in day, week, and month views of Google Calendar.


Option 2: Google Calendar Integration via Zapier

If you prefer automation, use Zapier to trigger SMS before an event starts.

Zap Setup: Google Calendar → ClickSend SMS

  1. Log in to Zapier and click Make a Zap!

  2. Choose App & Event:

    • App: Google Calendar

    • Event: Event Start

    • Click Continue

  3. Connect your Google Calendar:

    • Sign in and allow access

    • Click Continue

  4. Test the trigger and click Continue


Set Up ClickSend as the Action

  1. App: ClickSend SMS

  2. Event: Send SMS

  3. Connect your ClickSend account:

    • Enter your Username and API Key

    • Test the connection

  4. Set up SMS details:

    • To: The phone number to receive the message

    • Message: Customise using event fields (e.g., Summary, Start Time)

    • From: Set as "Google Calendar" or your business name

  5. Test & Finish:

    • Click Create & Continue

    • Name your Zap and turn it ON
