Integration Guide: Zapier

Easily automate your messaging and mailing workflows with ClickSend and Zapier.

This guide will walk you through connecting your accounts and setting up Zaps for:

  • SMS messages

  • MMS messages

  • Campaigns (SMS, MMS, Post Letter)

  • Voice, Fax, and Postcard sending


Step 1: Connect ClickSend to Zapier

Before creating Zaps:

  • Sign up for ClickSend

  • Create a Zapier account

Then:

  1. Log in to Zapier.

  2. Navigate to My Apps > Search for ClickSend.

  3. Enter your ClickSend API username and key (get it here).

  4. Click Yes, Continue to connect.


Creating a Zap

A Zap is a workflow with two main parts:

  • Trigger – the event that starts the workflow

  • Action – what happens after the trigger


Send SMS

  1. Trigger: Choose your preferred trigger (e.g., new lead, form submission, new order).

  2. Action App: ClickSend

  3. Action Event: Send SMS

  4. Fill in details like recipient number, message content, etc.

  5. Test & enable the Zap.


Send SMS Campaign

  1. Trigger: Select trigger event (e.g., new customer signup).

  2. Action App: ClickSend

  3. Action Event: Send SMS Campaign

  4. Input campaign details: contact list, message body, sender ID.

  5. Test & publish.


Send MMS

  1. Trigger: Choose a trigger like a new Trello card, form submission, etc.

  2. Action App: ClickSend

  3. Action Event: Send MMS

  4. Fill in the media URL, phone number, and message.

  5. Test the action before enabling.


Send MMS Campaign

  1. Trigger: Pick your preferred trigger.

  2. Action App: ClickSend

  3. Action Event: Send MMS Campaign

  4. Configure the image attachment, recipient list, and message content.

  5. Test & turn on the Zap.

Reminder: Check supported media formats and sizes before uploading.


Send Post Letter Campaign

Send personalized letters globally through Zapier and ClickSend.

Prerequisites

  • Create ClickSend Account

  • Create Zapier Account

Steps:

  1. In Zapier, select your trigger (e.g., new form submission).

  2. Choose ClickSend Letter Campaign as your Action App.

  3. Select Send Letter Campaign as the action event.

  4. Connect your ClickSend account using your API key.

  5. Fill out:

    • Contact list (upload contacts here)

    • Public .DOCX file URL (from Google Drive or Dropbox – see below)

    • Merge fields using <<field_name>>

    • Printing preferences

    • Return address (add one here)

  6. Test your setup and enable the Zap.

Supported URL Examples:

Supports up to 50 merge fields and 20,000 recipients.


Also Available: Voice, Fax, and Postcard Actions

You can also set up Zaps to:

  • Send a Voice Message

  • Send a Fax Message

  • Send a Postcard

These work the same way — just choose your trigger, select ClickSend, then the desired action, and configure the details.


Troubleshooting

If your Zap isn’t working as expected:

  • Log into Zapier

  • Go to Zap History > Zaps Run

  • Locate the failed run and click to view details.

  • Under the ClickSend action, check Data Out.

  • Ensure your API key is correct and that you have sufficient credits in your ClickSend account.

Visit Campaigns for SMS, or Letter Campaigns for letters.

How many contacts can I send to at once?

Up to 20,000 recipients per letter campaign. For SMS/MMS campaigns, limits depend on balance and message type.

Can I cancel a letter campaign?

Yes, within 1 hour of sending. Cancel it here.

What file formats are supported for Post Letter Campaigns?

.DOCX only. From Google Drive, Google Docs, or Dropbox with publicly accessible links.

How do I format merge fields in my document?

Use this format: <<FirstName>>, <<OrderID>>, etc.
