Integration Guide: Zapier

Easily automate your messaging and mailing workflows with ClickSend and Zapier.

This guide will walk you through connecting your accounts and setting up Zaps for:

  • SMS messages

  • MMS messages

  • Campaigns (SMS, MMS)

  • Post Letter

  • Voice, Fax, and Postcard sending


Setup: Connect ClickSend to Zapier

  • Sign up for a ClickSend account (if you don’t have one yet).

  • Create a Zapier account.

  • When creating a Zap and choosing ClickSend as a trigger or action app, Zapier will prompt you to connect your ClickSend account.

  • Enter your ClickSend API username and API key found in your ClickSend dashboard.

  • Click Yes, Continue to connect.


Creating a Zap

A Zap is a workflow with two main parts:

  • Trigger – the event that starts the workflow

  • Action – what happens after the trigger


Send SMS

  1. Trigger App: Choose your preferred trigger app (e.g., ClickSend SMS).

  2. Trigger Event: Choose your preferred trigger event (e.g., New Incoming SMS).

  3. Connect your ClickSend account by selecting from the list, or add a new account to continue.

  4. Action App: Choose your preferred action app (e.g., ClickSend SMS).

  5. Action Event: Choose your preferred action (e.g., Send SMS).

  6. Fill in the details such as recipient number, message body, etc.

  7. Continue, then test and publish the Zap.


Send SMS Campaign

  1. Trigger App: Select your trigger app (e.g., WooCommerce).

  2. Trigger Event: Select the trigger event (e.g., New Customer is added)

  3. Connect your WooCommerce account by selecting from the list, or add a new account to continue.

  4. Test trigger to continue.

  5. Action App: ClickSend SMS

  6. Action Event: Send SMS Campaign

  7. Fill in the details such as Campaign Name, List name (List ID), sender ID. message body, etc

  8. Continue, then test and publish the Zap.


Send MMS

  1. Trigger App: Select your trigger app (e.g., Trello, Typeform, Google Forms).

  2. Trigger Event: Choose the trigger event (e.g., New Entry, New Form Submission).

  3. Connect your App account by selecting from the list, or add a new account to continue.

  4. Select the preferred form

  5. Test trigger to continue.

  6. Action App: ClickSend SMS

  7. Action Event: Send MMS

  8. Fill in the details such as Sender ID, Subject, body, and media URL

  9. Continue, then test and publish the Zap.


Send MMS Campaign

  1. Trigger App: Select your trigger app (e.g., Shopify, HubSpot, Typeform).

  2. Trigger Event: Choose the event that will start the Zap (e.g., New Order, New Contact Added, New Form Submission).

  3. Action App: ClickSend

  4. Action Event: Send MMS Campaign

  5. Fill in the details such as Campaign Name, List name (List ID), sender ID. message body, etc

  6. Continue, then test and publish the Zap.

Reminder: Check supported media formats and sizes before uploading.


Send Letter

Send personalized letters globally through Zapier and ClickSend.

  1. Trigger App: Select your trigger app (e.g., Shopify, HubSpot, Google Sheets).

  2. Trigger Event: Choose the event that will start the Zap (e.g., New Paid Order,

  3. New Contact Added, New Spreadsheet Row).

  4. Action App: ClickSend SMS

  5. Action Event: Send Letter

  6. Fill in the details such as the file URL (Google Drive/Dropbox link), priority, template, color, single or double-sided printing, and the recipient/return address.

Supports up to 50 merge fields and 20,000 recipients

7. Continue, then test and publish the Zap.

You can also set up Zaps to:

  • Send a Voice Message

  • Send a Fax Message

  • Send a Postcard

These work the same way — just choose your trigger, select ClickSend, then the desired action, and configure the details.


Troubleshooting

If your Zap isn’t working as expected:

  • Log into Zapier

  • Go to Zap History > Zaps Run

  • Locate the failed run and click to view details.

  • Under the ClickSend action, check Data Out.

  • Ensure your API key is correct and that you have sufficient credits in your ClickSend account.

How many contacts can I send a letter to?

Where can I view my active campaigns?

Visit Campaigns for SMS, or Letter Campaigns for letters.

How many contacts can I send to at once?

Up to 20,000 recipients per letter campaign. For SMS/MMS campaigns, limits depend on balance and message type.

Can I cancel a letter campaign?

Yes, within 1 hour of sending. Cancel it here.

What file formats are supported for Post Letter Campaigns?

.DOCX only. From Google Drive, Google Docs, or Dropbox with publicly accessible links.

How do I format merge fields in my document?

Use this format: <<FirstName>>, <<OrderID>>, etc
