Hosting compliant Ts&Cs and Privacy Policy documents

Learn how to compliantly use ClickSend templates.

Who this article is for

You used ClickSend's templated Privacy Policy and Terms and Conditions to apply for a Standard, Low Volume 10DLC number. This article walks you through exactly what to do next to keep that number active — and what happens if you don't.

Important: ClickSend's templated Privacy Policy and Terms and Conditions are templates only. This is not legal advice. ClickSend's guidance is for informational purposes only and is neither intended as, nor should it be substituted for, consultation with appropriate legal counsel and/or your organization's regulatory compliance team. You should review and edit the templates as required for your business before publishing them.

Why this matters

ClickSend will provision your Standard, Low Volume 10DLC number using only the templated documents you selected during setup. That gets your number live — but it's only the first half of the requirement.

Within 30 calendar days of provisioning, you must host these documents on your own website. Relying on the templates alone, without hosting them publicly, does not meet compliance requirements. If you don't host them in time, your number's ability to send will be suspended, and if the situation isn't resolved, the number will eventually be removed altogether.

Because of this, we strongly recommend taking action as soon as your number is provisioned, rather than waiting until the deadline approaches. Learn more about Privacy Policy and Terms of Service documents.

Where to find your documents

The links to the ClickSend generated Ts&Cs and Privacy Policy documents can be found in the confirmation email we sent you upon submission and in your Dashboard.

To find the links in your Dashboard:

  1. Locate your number (it might be pending assignment)

  2. Click the menu and select View submitted application.

  3. Scroll to the documents section to find your links

Timeline at a glance

When

What happens

Day 0

Your number is provisioned using the templated documents.

Days 1–30

You must host the Privacy Policy and Terms & Conditions on your website or social media.

Day 30 (if not hosted)

Your number status changes to Unregistered. Sending is blocked. The number remains reserved for you, and you continue to be billed for it.

Days 31–37

A seven-day grace period to host the documents and restore sending.

Day 37 (if still not hosted)

The number is permanently removed. It cannot be revived — you'll need to reapply from scratch, and you will not be able to use auto-generated templates again for a future application.

Step-by-step: what to do now

Step 1: review the templates with your legal or compliance team

Before publishing anything, sit down with whoever handles legal or regulatory matters at your organization.

Remember: these templates are a starting point, not a finished legal document. ClickSend cannot advise on whether the templates are sufficient for your specific business — that determination sits with your legal counsel or compliance team.

Step 2: host the documents online

Once you and your legal team are happy with the wording, you need to make the documents publicly accessible online. You have a few ways to do this. Pick whichever fits your setup best:

Option A: link directly to ClickSend's hosted version

If you're happy using ClickSend's wording as-is (after your legal review), you don't need to build your own page. ClickSend hosts a copy of the template at a URL such as https://senders.clicksend.com/legal for your account.

To use this option:

  1. Copy the ClickSend-hosted URL provided to you at setup. You'll find it in your provisioning confirmation email or in your number application in the Dashboard.

  2. Add that link to your website footer, opt-in flow, or SMS sign-up form.

  3. Confirm the link is live and publicly accessible

This is the fastest option, but keep in mind the URL is a ClickSend domain, not your own brand's domain. Some businesses prefer Option B for that reason.

Option B: host the text on your own website

If you'd rather have the Privacy Policy and Terms & Conditions live on your own domain (e.g. yourbusiness.com/privacy-policy), do the following:

  1. Create a new page on your website. Most website builders let you add a page in a few clicks — look for Add Page or a similar option in your site admin or website builder tool.

  2. Copy the finalised template text and paste it into the new page.

  3. Format the page so it's easy to read with headings, paragraph breaks, and a clear title such as "Privacy Policy" or "Terms and Conditions."

  4. Publish the page.

  5. Confirm it’s working: click on the new URL and check it displays correctly.

This option takes a bit more setup but gives you a branded, permanent link that you fully control.

Option C: link to the template from your social media account

If your business promotes through a social media profile, make sure the Privacy Policy and Terms & Conditions links are also accessible there. For example, copy-paste the URL in your social media bio link or a linked "About" section.

Step 3: inform ClickSend

Before your 30 days are up, let ClickSend know that you are now hosting your Ts&Cs and Privacy Policy documents online. You can do so by replying to the email correspondences from the ClickSend ops team.

Quick checklist

  • Review template text with legal/compliance team & finalise the documents

  • Choose a hosting method (ClickSend URL, your own website URL, or social media)

  • Publish documents and confirmed links are live

  • Confirm with ClickSend that hosting is complete

Taking care of this early removes any risk of disruption to your messaging program, so don't wait until the deadline is close.
