File formats for letters

We accept the following file formats:

  • PDF

  • DOCX

  • DOC

  • RTF

All files must be under 10 MB.

If you’re using a PDF you must embed all fonts, remove layers or hidden elements and set the file size to A4 portrait.


Paper size

  • We support A4 size letters globally.

  • If you’re sending letters to the US we will auto-resize if needed.

Please note, frameless (“edge-to-edge”) printing is not supported in the US.


Envelope sizes

To ensure your letters are properly packaged, we use different envelope sizes depending on the number of pages and the recipient's location:

Small letters (outside Europe)

Letters of up to 4 pages simplex or 8 pages duplex will be placed in a DLX tri-fold, windowed envelope. The address will be viable through the window.

Small Letters (within Europe)

Letters of to 4 pages simplex or 8 pages duplex will be placed in a C5 single-fold envelope. The address will be printed directly on the front of the envelope.

Large Letters (all regions)

Letters of 5+ pages simplex or 9+ pages duplex will be placed in a C4 flat, windowed envelope. The letters will not be folded and the address will be viable through the window.


Address placement for letters

There are three ways that your letters can be addressed, which may impact how you set up your letter file.

  1. Add the address to the letter

    The address will be added to the address stamp area, so you’ll need to keep this section blank (not available in Europe). View the letter template to set up your file correctly.

  2. Add a blank cover page
    Add a blank page at the front of your letter. The recipient’s address will be added to the blank page.

  3. Print the address on the envelope
    For letters sent within Europe, the address is printed on the envelope.
    This means you can use the entire first page of your letter.


How to format addresses for each region

Most mail services around the use the same formatting for addresses. Follow the guide below.

In The US, the UPS mail service uses single address line formatting (see example). We’ll re-format any 2 line address for you automatically.

"Return" address

For the return address there is slightly less space. Make sure you follow the below constraints.

International return addresses

In some countries, you must provide a regional return address. See below:

Americas

You must add a USA return address if you’re sending letters or postcards to:

  • USA

  • Canada

  • Central America

  • South America

UK & Europe

You must add a UK return address if you’re sending letters to:

  • UK

  • Any European countries.

If you’re sending Postcards to the UK or Europe, you can’t add a return address. A generic address will be added.
